What is Legalization?

A legalization is a procedure in which the signature on a document is verified by an official body.

Because consulates/embassies cannot discern authenticity they want one Dutch ministry to do this for them. Often this is the Ministry of Foreign Affairs but it can also be a notary or the Chamber of Commerce. The document can then be used legally in a country other than the country where it was issued.

The legalization procedure depends on the type of document and the country in which the document will be used. Sometimes a whole series of signatures from different agencies that are aware of each other's authority is required.

Figuring out the correct route can be complicated and time-consuming.

Examples of documents which are often
legalized for companies or individuals:

  • Certificates of Good Conduct (VOG).
  • Diplomas
  • Medical certificates
  • Birth and marriage certificates
  • Certificate of Origin
  • Invoices
  • Powers of Attorney
  • Articles of Association
  • Health certificates
  • GMP certificates
  • Deeds of incorporation
  • CPP certificates
  1. This VOG is only issued in Dutch and should be translated by a sworn translator and provided with the official stamp and signature of the translator.
  2. After this the VOG should be officially signed by the Ministry of Foreign Affairs.
  3. Finally it needs to be signed by the consulate or embassy of the country where the document is needed.
